Effective Date: October 8, 2026 · Version 2.0
Introduction
Pitchbox, LLC d/b/a LinkIndex (“LinkIndex,” “we,” “our,” or “us“) sells link placements, guest posts, content development and related digital publishing services to marketing agencies, SEO professionals and businesses (“Buyers“), and buys those services from independent publishers and content providers (“Suppliers“) who supply them to LinkIndex. We also provide the software platform through which both are done, including the Buyer Portal, the Seller Portal, our programmatic interfaces, and the tools agencies use with their own clients.
This Privacy Policy explains how we collect, use, share and protect information in connection with our website, the LinkIndex platform and related communications (together, the “Services“), and the choices you have. It applies to everyone who uses the Services: Buyers, Suppliers, the people they invite to their accounts, visitors to our website, and the clients and visitors of agencies who use our agency tools.
Our Terms of Service govern every LinkIndex account, and our Supplier Agreement additionally governs supply. Where either of those documents says that something is done “as described in the Privacy Policy,” this is the document it means.
By using the Services, you acknowledge that you have read and understood this Privacy Policy.
Quick Summary
- We collect account, business, order, payment-related and usage information to run the Services and to perform our contracts with you.
- LinkIndex is the seller to Buyers and the purchaser from Suppliers. We share a Buyer’s order instructions with the Supplier that fulfills the order, and we show Suppliers’ property information and performance data to Buyers so they can choose what to buy. We do not share a Buyer’s contact details with Suppliers, or a Supplier’s contact details with Buyers.
- Payments for orders are processed by PayPal, and subscription payments by Stripe. Payments to Suppliers and payments that agencies collect from their clients are also processed by PayPal. We do not store full card numbers.
- If you connect Google Analytics or Google Search Console, we use that data only to provide the Services to you, as described in Section 1.5, and we follow Google’s Limited Use requirements.
- Messages and content on the platform are screened by automated systems, including third-party AI services, as described in Section 3.3.
- You can access, correct or request deletion of your data by contacting dataprotection@linkindex.com.
- Data is processed in the United States, with safeguards for international transfers.
1. Information We Collect
1.1 Information you provide
When you register for or use the Services, you may provide:
- Your name, business email address, telephone number and other contact information, and the same for people you invite to your account as Authorized Users.
- Your company or agency details, business address, website and, where you are an individual or sole proprietor, your own name and address in that capacity.
- Tax information required before we can pay a Supplier, such as a Form W-9 or W-8, including a taxpayer identification number or foreign tax identifier.
- Payment account details: for Suppliers, the PayPal account or other transfer destination to which we send payment; for Buyers, billing name and address. Card numbers are entered directly with PayPal (for orders) or Stripe (for subscriptions) and are never stored by LinkIndex; we hold only a payment token and, where the provider gives it, the last four digits.
- Identity and business verification documents where we ask for them under our Terms of Service or Supplier Agreement, or where a payment provider requires them.
- Listing information (Suppliers): the properties you list, their domains, metrics, categories, prices and descriptions.
- Site and campaign information (Buyers): the websites you add to your account, the target URLs, anchor text, briefs, content and other materials you supply for orders.
- Messages, attachments and revision requests sent through the platform.
- Reviews and ratings you post, and any public response to a review.
- Support requests, survey answers and other communications with us.
1.2 Information from your use of the platform
We create and keep:
- Order, Purchase Order and transaction records, including prices, fees, credits, amendments, delivery, acceptance and refund history.
- Records of your acceptance of our Terms of Service, Supplier Agreement and other terms, including the version accepted, the date and time, and the IP address used.
- Records of actions taken on your account, including actions taken through an API key, connector or AI agent you have connected, and the credential used.
- Placement records: the URL at which a placement was published, its status over time, and the results of our automated checks that it remains live and conforms to the order.
- Usage logs and activity timestamps.
1.3 Information collected automatically
When you use the Services we automatically log:
- IP address, device and browser type, operating system and language.
- Referring pages and the pages, features and listings you view.
- Session and cookie identifiers.
- Clickstream and activity metrics, error logs and diagnostic data.
1.4 Information from third parties
We may receive:
- Verification, risk and fraud signals from PayPal, Stripe and identity-verification partners.
- Website metrics and performance estimates for listed properties from third-party SEO data providers.
- Information from public sources, including the content of websites listed on the platform and the pages on which placements are published, which we crawl to verify placements.
- Data from marketing, CRM or other integrations you choose to connect.
- Sanctions, watch-list and business-registry data used for compliance checks.
1.5 Connected data sources: Google Analytics and Google Search Console
Both Buyers and Suppliers may choose to connect Google Analytics and Google Search Console properties to their LinkIndex account. Connecting is optional and is done through Google’s sign-in, which shows you the data you are granting access to. You can disconnect at any time from your account settings or from your Google account permissions page.
What we access. Traffic, audience, query, impression, click and page-level data for the properties you connect, and the property’s verification status.
Why we use it, Suppliers. To verify that you control the property, to display traffic and performance figures for it to Buyers so they can decide what to buy, to produce the metrics shown on your listings, and to detect inconsistencies between connected data and what a listing states. Figures shown to Buyers are presented as received from Google; we do not share your raw Google data with Buyers or let them query it.
Why we use it, Buyers. To analyze the performance of your sites, to generate recommendations and plans such as the Link Building Game Plan, to measure and report on placements you have bought, and to improve the relevance of what the platform shows you. We do not disclose a Buyer’s connected data to Suppliers or to other customers in a form that identifies the Buyer or the site.
Google’s Limited Use requirements. LinkIndex’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we use Google user data only to provide and improve the features described above; we do not use it for advertising; we do not sell it; we do not transfer it to others except as needed to provide those features, for security, or to comply with law; we do not allow people to read it except with your consent, for security, to comply with law, or for internal operations where the data has been aggregated and de-identified; and we do not use it to develop, improve or train generalized artificial intelligence or machine learning models.
When you disconnect. Features that depend on the connection stop working or work from the data already held, as the platform explains. We delete the stored connected data within 90 days of disconnection, except aggregated figures that no longer identify a property and records we must keep for the reasons in Section 6.
1.6 Information about an agency’s clients
Agencies that use our agency tools may create proposals for their own clients, host those proposals on a domain the agency controls, and collect payment from clients through the agency’s own PayPal account. When they do, we process information about those clients, and about visitors to the hosted pages, on the agency’s behalf and under its instructions: client names and contact details the agency enters, the content of proposals, the visitor’s IP address and page activity, and transaction details that PayPal reports to us. The agency is responsible for giving its clients any notice and obtaining any consent that its use of these tools requires. Client payments are made to the agency’s PayPal account, not to LinkIndex; we receive only the transaction details needed to record the payment and our fee.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate and maintain the Services and perform our contracts with you.
- Sell and fulfill orders: match an order with a Supplier, pass the Buyer’s instructions and materials to that Supplier, route revision requests, record delivery and acceptance, and resolve escalations.
- Display listings, property information, metrics, verification status, reviews and ratings to Buyers so they can choose what to buy, and show Suppliers’ ratings of Buyers to Suppliers deciding whether to take an order.
- Generate recommendations, including the Link Building Game Plan and suggested placements, from platform data, third-party data and any data sources you have connected.
- Process payments, pay Suppliers, apply credits, issue refunds, and prepare tax forms and filings.
- Verify identity, ownership and business details, and prevent fraud, abuse, off-platform solicitation, scraping and other breaches of our terms.
- Monitor placements automatically to check that they remain live and conform to the order.
- Screen messages, content and reviews using automated systems, as described in Section 3.3.
- Communicate with you about orders, payments, account changes, terms updates and support.
- Send marketing communications, with consent where the law requires it; you can opt out at any time.
- Identify you as a customer or Supplier in our marketing, where our Terms of Service or Supplier Agreement permit it, using your business name, property names and logo.
- Improve, secure and develop the Services, including by analyzing usage in aggregate.
- Comply with law, respond to lawful requests, and establish, exercise or defend legal claims.
3. How We Share Information
3.1 Between LinkIndex, Buyers and Suppliers
LinkIndex is the contracting party on both sides: Buyers buy from LinkIndex, and Suppliers sell to LinkIndex. To fulfill an order we share the Buyer’s instructions, materials and revision requests with the Supplier performing it, and we share the Supplier’s property details, delivery and placement information with the Buyer. We may identify the Supplier to the Buyer to the extent the order requires, for example by showing the domain on which a placement is published. We do not share a Buyer’s contact details with a Supplier or a Supplier’s contact details with a Buyer, and our terms prohibit both from exchanging them through the platform. Reviews a Buyer posts are displayed to other Buyers alongside the Supplier’s listings under the Buyer’s account display name. A Supplier’s rating of a Buyer is shown only to Suppliers considering an order from that Buyer and is not published.
3.2 With service providers
We share information with vendors who process it for us under contract, including:
- Hosting, storage and infrastructure providers.
- PayPal, for Buyers’ payments for orders, for payments to Suppliers and, under PayPal’s partner program, for payments that agencies collect from their clients, together with the related fraud and verification checks.
- Stripe, for subscription billing and the related fraud and verification checks.
- Email, notification and customer-support tools.
- Analytics and product-monitoring tools.
- Security, fraud-prevention, identity-verification and sanctions-screening providers.
- Third-party SEO and website-metrics data providers.
- AI service providers (currently OpenAI, Anthropic and Google) for the automated processing described in Section 3.3.
3.3 Automated moderation, analysis and AI processing
We use automated systems, including third-party artificial intelligence services, to process content on the platform. This includes:
- Screening messages, revision requests and reviews to detect and obscure contact details and off-platform solicitation, to detect abuse, and to enforce our communication and review rules.
- Analyzing briefs, delivered content and listings for compliance with our terms and content standards.
- Generating recommendations and plans for Buyers from platform data, third-party data and connected data sources.
Content sent for this processing may be transmitted to the AI service providers named in Section 3.2, who process it under contracts that prohibit them from using it for their own purposes, including to train their models. Automated decisions on the platform, such as holding a review or flagging a message, can be reviewed by a person on request to support@linkindex.com.
3.4 Your own AI tools and agents
Where you connect an AI assistant, agent or other software to your account through our API, connectors or Model Context Protocol server, the information that software retrieves from the platform is sent to it, and to its provider, at your direction. That provider’s handling of the information is governed by its own terms and privacy policy, not by this one. You are responsible for choosing and configuring those tools.
3.5 Public display and publicity
Reviews, ratings and public responses are displayed on the platform as described in Section 3.1. Where our Terms of Service or Supplier Agreement permit, we may display a customer’s or Supplier’s business name, property names and logo on our website and in marketing materials.
3.6 Legal and safety disclosures
We may disclose information to comply with law, regulation, legal process or a lawful government request; to enforce our terms; to protect the rights, property or safety of LinkIndex, our users or others; and to detect and prevent fraud, abuse or security incidents.
3.7 Tax authorities
We report payments to Suppliers to the United States Internal Revenue Service and to other tax authorities where the law requires, using the tax information you have provided.
3.8 Business transfers
If LinkIndex is involved in a merger, acquisition, financing, reorganization or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
3.9 With your consent or at your direction
We share information with third parties when you ask us to or consent to it, for example when you export data to a tool you connect.
We do not sell personal information for money. Our marketing website uses advertising cookies and pixels from partners such as Google, Meta and LinkedIn to measure our campaigns and show our ads to people who have visited us; under some US state laws that counts as “sharing” personal information for cross-context behavioral advertising, and you can opt out through our cookie banner, through the Global Privacy Control browser signal, or by emailing dataprotection@linkindex.com. These advertising technologies are not used inside the logged-in platform or on pages that agencies host through our agency tools. Our Cookie Policy at linkindex.com/cookies has the details.
4. Cookies and Tracking Technologies
We use cookies and similar technologies to authenticate you and maintain your session, remember your preferences, analyze traffic and platform usage, improve and personalize the Services and, on our marketing website, to measure and deliver our advertising. Our Cookie Policy at linkindex.com/cookies describes the categories we use, our partners, and how to manage them, including through the cookie banner shown in regions where consent is required. Blocking some cookies may limit functionality. Pages that agencies host on their own domains through our agency tools set only the cookies needed to display the page and record the visit.
5. Data Security
We use administrative, technical and physical safeguards appropriate to the information we hold, including encryption in transit (TLS 1.2 or higher) and at rest for sensitive data, access controls and authentication, logging and monitoring, periodic security reviews, and restricted employee access to personal data. Tax identification numbers and verification documents are stored with additional access restrictions. No system is perfectly secure, and we cannot guarantee absolute protection, but we maintain industry-standard controls to reduce risk. To report a security issue, contact security@linkindex.com.
6. Data Retention
We keep information for as long as needed to provide the Services, perform our contracts, resolve disputes, and comply with legal obligations, and then delete or anonymize it. Our usual periods are:
- Account and profile information: for the life of the account and up to 6 years after closure, to establish or defend claims.
- Order, Purchase Order, payment, invoice and credit records, and tax information and forms: 7 years after the end of the year to which they relate, for tax and accounting purposes.
- Records of your acceptance of our terms: for the life of the account and 6 years after closure.
- Messages, revision requests and order communications: 3 years after the order to which they relate is completed.
- Placement monitoring records: for as long as the placement obligation lasts and 3 years after.
- Connected Google Analytics and Search Console data: while the connection is active and up to 90 days after disconnection, as described in Section 1.5.
- Reviews and ratings: for as long as they are displayed, and as part of order records thereafter.
- Server, security and access logs: 12 months, unless needed longer for an investigation.
- Information about an agency’s clients and page visitors: for as long as the agency’s account and the related proposal or payment records are kept, or as the agency instructs.
We may keep minimal identifying details longer where needed for fraud prevention, to enforce a suspension or termination, or to meet a legal hold.
7. International Transfers
We process data in the United States, and our service providers may process it in other countries. For transfers of personal data from the European Economic Area, the United Kingdom or Switzerland, we rely on Standard Contractual Clauses or the UK International Data Transfer Addendum, together with supplementary measures where appropriate.
8. Your Privacy Rights
Depending on where you are, you may have the right to access and receive a copy of your personal data, correct inaccurate data, request deletion (subject to our legal obligations and the retention periods above), object to or restrict certain processing, port your data, and opt out of marketing communications. Residents of California and other US states with comprehensive privacy laws may also have the right to know what personal information we collect and how we use and share it, to request deletion or correction, and not to be discriminated against for exercising their rights; and to opt out of the “sharing” of personal information for cross-context behavioral advertising described in Section 3.9, which you can do through our cookie banner, by sending a Global Privacy Control signal from your browser, which we honor, or by emailing us. Some of these laws do not apply to information collected in a business-to-business context; we apply the rights above to all users regardless.
To exercise your rights, contact dataprotection@linkindex.com. We may verify your identity before responding, and we respond within the time the applicable law allows. If you are in the EEA or the UK, you may also complain to your local data protection authority.
If you are a client or page visitor of an agency that uses our agency tools, please direct your request to that agency; we will assist the agency in responding.
9. Legal Bases for Processing (EEA and UK users)
We process personal data on the basis of: performance of a contract (providing the Services and performing our Terms of Service and Supplier Agreement with you); our legitimate interests (operating and securing the platform, preventing fraud and abuse, monitoring placements, generating recommendations, analytics and improvement, and marketing to business contacts), balanced against your rights; your consent (where required, for example for marketing emails or for connecting a Google data source); and legal obligations (tax reporting, record-keeping and responding to lawful requests).
10. Children’s Privacy
The Services are intended for adults in a business context. We do not knowingly collect data from anyone under 18, and we delete such data promptly if we discover it.
11. Third-Party Links and Tools
The platform links to external websites and tools, including Google, PayPal, Stripe and the AI tools you may connect. We are not responsible for their privacy practices. Please review their policies before using them.
12. Changes to This Policy
We may update this Privacy Policy. We will post the updated version on our website with a new effective date and, for changes that materially affect how we use or share your information, we will email you at your registered address at least 30 days before the change takes effect. Minor corrections and clarifications take effect when posted. Your continued use of the Services after the effective date of an update constitutes acceptance of it.
